Volunteer Bond Policy


Purpose

Southfour Softball is run entirely by dedicated volunteers. As our organization continues to grow, active participation from all members is essential to ensure we can operate effectively, providing a positive experience for all athletes. Our Volunteer Bond program encourages all families to engage in helping our club thrive by sharing responsibilities, which in turn allows us to offer consistent, quality programming for our players.


 Volunteer Bond Overview

Each family with a player registered in Southfour Softball is required to contribute a minimum number of volunteer credits throughout the season. The Volunteer Bond serves as a commitment to either fulfill these service hours or provide a monetary contribution that helps support our association. For the 2025 season, families are asked to contribute 4 credits per player to meet their bond requirement.


2025 Season Bond Requirement

Bond Amount: $200 

Credit Requirement: 4 credits are required to satisfy your bond commitment. 


 Volunteer Credit System


Each volunteer role is assigned a credit value. One credit is approximately equal to one hour of service. Here’s a breakdown of volunteer opportunities and their respective credit values:

  • Board Member - Fulfills all credits needed for all family members playing softball
  • Evaluations/Clinics - 1 credit per hour of service assisting with the running of evaluations and clinics
  • Casino Volunteer - 4 credits for a full 8-hour shift
  • Bottle Drive  - 1.5 credits per shift
  • Team Fundraisers - 1 credit per hour spent helping out with any team fundraisers
  • Team Social Media Coordinator - 4 Credits
  • Head Coach - 4 credits
  • Assistant Coach - 4 credits
  • Team Manager - 4 credits
  • Team Volunteer Bond Coordinator - 4 credits
  • Umpire - 1.5 credits per game umpired
  • Field Prep - 1 credit per game (includes setting up and taking down the field for home games)
  • Scorekeeper - 0.5 credits per game

 


 Key Role Descriptions:

Team Manager 

The Team Manager plays a key role in helping the team stay organized throughout the season.

Responsibilities include:

  • Managing the team’s RAMP account/app
  • Scheduling all practices, games and team events in RAMP
  • Working with the Southfour Diamond Coordinator to coordinate field bookings and rescheduling rain-out games
  • Entering game scores into Calgary Minor Softball
  • Running the team bench on game days
  • Uniform distribution and collection

 

Team Volunteer Bond Coordinator
Each team will have a designated Volunteer Bond Coordinator to help manage and track volunteer commitments.

The coordinator will:

  • Inform parents about available volunteer roles and credit values
  • Assign parent volunteer roles and maintain records of completed credits
  • Report weekly updates to the Volunteer Coordinator at Southfour

 

Team Social Media Parent

Each team will have a designated Social Media Parent (or Parents) to help Southfour create photo and video content for our website and social media.

The Social Media Parents will:

  • Take good quality photos and videos of the team during games and practices
  • Work with the Southfour Social Media Coordinators to complete any small social media projects they may have
  • Get creative in the content they want to create to promote their team, players, Southfour and girls fastpitch softball as a whole.

 


Volunteer Bond Enforcement


To ensure fairness, any family that does not fulfill the required 4 volunteer credits by the end of the season will be invoiced for the $200 Volunteer Bond. If the volunteer bond invoice is not paid, that family will not be eligible to register for the following season until the bond is cleared. This policy is essential to maintaining a well-supported and smoothly operating club.
